Pave the way for AI-driven operational planning

Through a user-centered collaboration with Deepinsight, Lovisenberg achieved over 20% reduction in waiting lists.
The Challenge
Lovisenberg Diaconal Hospital faces challenges that characterize large parts of the health sector: growing waiting lists and increasing pressure on resources. Operation planners in the Orthopedic and Ear, Nose and Throat (ENT) sections worked under demanding conditions—often with pen and paper, as well as their own experience, as the only tools to ensure that patients received the right treatment at the right time.
The planners' role is critical for balancing patient needs and capacity, but limited systems made it difficult to work effectively and structured. The need for a more data-driven and user-friendly planning tool was evident.
The Solution
Together with Deepinsight, Lovisenberg Diaconal Hospital embarked on a digital transformation journey. Through a user-centered collaboration, Deepinsight Hero, an AI-based software for operation planning, was developed and implemented.
Operation planners at Lovisenberg Diaconal Hospital actively participated in the entire development process—from insight work to testing and adjustment—and thus became key figures in shaping a tool tailored to their everyday needs.
– The unique aspect of Deepinsight was that they understood the clinicians' needs and developed a tool adapted to the users. Instead of forcing the clinicians to adapt to the system, Deepinsight Hero has been built around the actual work situation of the healthcare personnel, says Assistant Clinic Manager, Henrik Hofgaard.
In spring 2024, the implementation of Deepinsight Hero began. First out was the Orthopedic section, where room allocation, dynamic capacity management, and templates were introduced as part of the application.
By summer 2024, the ENT section was also onboarded. The entire surgical clinic at Lovisenberg Diaconal Hospital thus switched to planning operations in Deepinsight Hero.
Autumn brought several new features:
An AI-based staffing model
Improved waiting list management
Integration with the DIPS journal system, which now automatically retrieves patient data to Deepinsight Hero.

Results
The collaboration between LDS and Deepinsight has yielded measurable improvements in 2024:
The waiting list for orthopedic round-the-clock and ENT-day surgery has been reduced by approximately 20 %
The activity level at the departments has increased by over 12 %
Time spent on planning has significantly decreased
– I no longer use paper in operation planning, not even when I work from home. Deepinsight Hero is now my preferred tool. Even though it sometimes felt like extra work, I see that the effort yields results, says Operation Planner Benedikte Kielland.
